Overview Student Leaver Record Submission Support Reports are available for district users only. The reports assist districts with identifying students who may need to be reported in the Fall submission. The reports are run on-demand based upon criteria selected by the user on a report parameter page within the EDIT+ application. Questions and Solutions About Leaver Record Submissions Support Reports The following table provides a set of questions and solutions that should be helpful as you work with Student Leaver Record Submission Support Reports. Note: PET records are not used when determining if a student is a mover; only prior year Summer and current Fall PEIMS collections are used to determine mover status. District reported the Summer As-of-Status code of I. If the new district does not submit an As-of-Status of B or C in their Fall submission, the old district is responsible for submitting the student in their Fall submission (with a 203 Leaver record with an As-of-Status of A, D or E). It is also possible that the new district has used the incorrect As-of-Status code. Any other As-of-Status code will not remove students from the report. 4Undetermined Last District AttendedStudent was reported in more than one district and 鶹ֱ cannot determine which district the student last attended. All districts reported the Summer As-of-Status code of I. Based on the Summer Attendance data, if the districts in question have the exact same reporting periods, 鶹ֱ is not able to determine which district the student last attended. Therefore all districts are responsible for sending either: A 203 Leaver record with an As-of-Status of A, D or E. An Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Or this student will be removed from the report if any other district submits an Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Any other As-of-Status code will not remove students from the report.  5Invalid As-of-Status code reportedStudent remains on the Underreported Report even with an enrollment record submitted by any district in the Fall submission.Students who are listed on the report are considered in attendance for the prior school year and must be accounted for in the current Fall submission with either: A 203 Leaver record with an As-of-Status of A, D or E. An Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Or this student will be removed from the report if any other district submits an Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Any other As-of-Status code will not remove students from the report. 6Student remains on report PRF0B032 and is included in fall fileDistrict submitted Summer Attendance data with an As-of-Status of H and student still remains on Under Reported Report.If the District reported the student in their Summer Attendance with an As-of-Status of H they must account for this student in the current Fall submission with either: A 203 Leaver record with an As-of-Status of A, D or E. An Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Or this student will be removed from the report if any other district submits an Enrollment or Non-Enrollment record with an As-of-Status code of B or C. Any other As-of-Status code will not remove students from the report. If the other district did not submit a B or C they may have miss-coded their 101 record. 7Resubmission files against the PRF0B032 reportThe district has corrected their under-reported from the initial Fall submission. When submitting data for the Fall Re-submission, they are getting the same number of under-reported students in the PRF0B032 report. They were expecting the under-reported to decrease. Does the PRF0B032 work in the Re-submission mode?The PRF0B032 does not change during resubmission. It reflects changes only in the 1st Submission or after the collection has closed. This is because the Presumed Summertime Mover column is checking statewide data and the data is only available after the close of the 1st submission or when all districts have completed their re-submissions and the Approved collection is open. The PRF0B033 report shows changes based on each file submitted by the district.86th Graders are listed on the PRF0B032 reportStudent was reported in the Summer submission with at least 1 reporting period in the 7th grade or above but also was reported in 6th grade and student was retained in the 6th grade in the current year.Because these students were reported last year in the Summer Attendance collection in the 7th grade or above for at least one reporting period, they were included in the Roster table. Because their grade for the current Fall collection is 06, you must report them with an As-of-Status code of X and they will remain on your Under Reported report for this year.9As-of-Status of XStudent was in district last year but has moved and is being reported with an As-of-Status of X by other district.As-of-Status X does not remove this student from the Underreported report. It is possible that the other district has miss-coded their records or it is possible that the student went back into the 6th grade and cannot be removed from the Underreported report.10Student received a GEDStudent received a GED as of 08/31 but is not flagged as receiving a GED. The GED flag is set by matching the GED database to the roster shortly after 08/31. Corrections to the GED database after the match to the roster are not reflected in the underreported students list. 11PRF0B033 during resubmissionThis report is showing a lot more Underreported students than the PRF0B032 report.The PRF0B033 report is only comparing the districts file against their Roster records. This report does not include the statewide Summer Time Mover column that can be found on the PRF0B032 report. Therefore any student that was being accounted for by that column on the PRF0B032 report is not being accounted for on the PRF0B033 report. 12Student was submitted in the Prior Year Fall submission onlyThe Student was submitted in the prior year Fall submission but no Summer Attendance records were submitted for the student and this student is still on the Underreported report.To remove these students from the report they must be reported in the current Fall submission with either: A 203 Leaver record from the district with an As-of-Status of A, D or E. An Enrollment or Non-Enrollment record with an As-of-Status code of B or C from the district. Or an Enrollment or Non-Enrollment record with an As-of-Status code of B or C by any other district. Any other As-of-Status code will not remove students from the report.  13Student with two PID numbersStudent was submitted with one SSN in the Fall submission and a new SSN in the Summer Submission and district did not receive a PID error. Student is still on the Underreported Report.If a student was reported with a different SSN and at least one unique First Name, Last Name or Date of Birth during the two fall and summer submissions or PET submission, the two unique PID records were added and these two SSNs are considered to be two different people. The only way to remove the Under reported SSN from the report is to submit a 203 Leaver record with an As-of-Status of A, D or E. 14Student is flagged as receiving a GEDStudent has been flagged on the PRF0B031, PRF0B032, or PRF0B033 as having received a GED, but this student is enrolled in the district. Each student on the roster is compared with the GED system by a relaxed matching process. Based on any SSN the student has every been assigned, that SSN and 2 out of 3 major demographics match (First name, Last Name or Date of Birth) then this student is flagged as having received a GED. It is possible that the student has used a parents SSN in the past and with the 2 out of 3 major demographic match, then the student is flagged as receiving a GED. Districts should submit an enrollment record for a student enrolled in the district even if the student is flagged as a GED recipient. 15Student is flagged as a Prior Year GraduateStudent has been flagged on the PRF0B031, PRF0B032, or PRF0B033 as having being a Prior Year Graduate, but this student is enrolled in the district. Each student on the roster is compared with the Prior Year Graduate system by a relaxed matching process. Based on any SSN the student has every been assigned, that SSN and 2 out of 3 major demographics match (First name, Last Name or Date of Birth) then this student is flagged as having been a Prior Year Graduate. It is possible that the student has used a parents SSN in the past and, with the 2 out of 3 major demographic match business rule, the student is flagged as being a Prior Year Graduate. Districts should submit an enrollment record for a student enrolled in the district even if the student is flagged as a previous graduate. 16Student listed with a PID ErrorA student was reported last year in Fall or Summer and received a PID Error for that SSN and the same student was reported with a different SSN the last year in Fall or Summer and did not receive a PID error.Because two different SSNs were reported for the same student and a PID Error was received, 鶹ֱ was unable to determine that these two records belong to the same student. Therefore at 鶹ֱ these records are considered to be two different students. In the current Fall collection, only one of the two SSNs is accounted for but the other SSN will always remain on the report as Underreported. 17Can you please explain the PRF0B033 report and how to interrupt the information on the reportA lot of students are showing up on the PRF0B033 report. Why? The PRF0B033 report is run onlyagainst the data in your file. There are two columns that are populated based on your data, Presumed Returned Student and Presumed Leaver. If a student is showing asUnderreported on the PRF0B033 report then check the PRF0B032 reportand see if the student is underreported as of the end of 1st submission. The columnPresumed Summertime Mover on the PRF0B032 reportis populated by looking at the entire states 1st submission files or after all re-submission files are submitted.If they are not Underreported on thePRF0B032 report then you do not need to submit a 203 record, but if they are underreported on boththe PRF0B032 and PRF0B033 reports then you need to send a 203 record for that student. 18Will an Underreported student be counted as a Dropout?Are the students on the underreported list also considered dropouts?Underreported records are not counted as dropouts for purposes of evaluation of campuses and school districts for state accountability.
